This panel lets you record and track your performance measures and your target performance measures. It does not involve the capture of performance data, but is the recording of that performance data. Capture data for your Key Performance Indicators (KPIs) for all data types from business, to functional (applications), non-functional (technologies), and Data Quality (information) KPIs.

Usage

You can customise the default labels in the Editor Builder to suit your needs, and track whatever KPIs you require. Create new KPIs in the editor, then define the KPI type, Name, Label, Data type, and the question being asked, or select existing ones from the list when adding new KPIs to the tracking panel. Once KPIs have been added, they will appear in the panel, by default the panel will be the width of the screen – this can be changed in the editor builder. Set the dates being displayed with the ‘View From/To Date’ buttons, this is what will be shown on the x-axis of the performance tracker graphs.

Adding the Panel to your Editors

Add this panel to editors using the Editor Builder. Select an existing tab or section, then Add Component, and Add Slot.

Search for the Target performance measures slot, then select the performance tracking panel from the available editor components.

Once the panel has been added, set which service you need to be able to add, business, application, information and/or technology, by checking the enabled tickbox next to each Class. You can also customise the User Interface and labels as with all configurable editor slots. Our example setup has the column width set to Full Width but this is not a requirement.

You can also define whether the editor can manage the KPis/KPI groups, whether KPIs can be managed as groups, and the default KPI group date range. Once you have updated this you will need to publish to the viewer for the panel, or any changes to the panel, to appear in the editor.

Manage KPIs as Groups: this allows you to manage and save KPI Group templates. This can be useful if you need to use the same KPI groups for each instance.

Using the Tracker Panel

Select the required instance in an editor, e.g. application or supplier, or create a new one. Options will depend on your settings in the Editor Builder, you will need to enable Can Manage KPIs/KPI Groups to add/create KPIs to the instance.

To add KPIs without Manage KPIs as Groups selected, click Select KPIs. Here, you can add existing KPIs, or create new ones.

To add KPIs with Manage KPIs as Groups selected, select the New KPI Group button. Add or create KPIs as required. Then select KPIs as before.

You may need to create new KPIs, when creating, there are a few different options depending on the data type. We recommend going through the next section.

Data Types

The setup of a KPI will depend on the data type. Select Number, Rating or Yes/No. NOTE: once you have defined the KPI Type and the Data Type, you cannot change these (See image for Rating data type). Below will also demonstrate capturing Target and Actual performance data for each data type, as these differ slightly between the data types.

Select Number as the data type. Define the Name, Label, and question being asked. With a number, you will have to define the unit type, unit of measurement, and we recommend capturing at least the minimum value. The labels are what will appear on the KPI Graph in the editor. Defining your Ranges will depend on your KPI. For the above example, a lower score is better than higher, as a lower response time is more desirable. You can fully edit these to suit what you need the ranges to be, with custom colours. When selecting colours make sure to select confirm. Once you have defined your ranges, select Create. You can always edit ranges and colours later if you change your mind.

Adding Target and Actual Performance Data

When you have added your KPIs, you can either capture a New Target or New Actual. You can save targets or actuals as drafts until you are completely sure of the value. You can edit drafts as many times as you need to, but once you confirm you will be unable to edit the value for both target and actual KPis.

Select “New Target…”, set the date the target is set for, enter the target value, then add any comments. Select save as draft, or confirm the target. Once a target is confirmed, you cannot edit data for it.

This is done in the same way as adding a target but, as suggested, reflects the actual performance data instead of the target. Again you can choose to save it as a draft or as an actual. A Target and Actual draft might look like this:

Once you have confirmed either a target or actual, or both, you can add a new target and new actual. Until the data is confirmed, you can only update a draft. Confirmed data is displayed by the solid outline. Hover over targets and actuals to display the date of them.

Define your Rating KPI Type, Name, Label, and Question. Next define the Options labels, colours, scores and descriptions. Note that the KPI and data types are greyed out because this was editing an existing KPI, where these cannot be changed once selected. You can also delete existing options and add new ones if you need to.

Select New Target or New Actual, then the date the target was set, or actual was recorded. Define the rating for the instance in answer to the question – either as the target or the actual rating. Then as before save as a draft, or confirm the data. To add new targets/actuals, you will need to confirm the draft if there is one.

Define the KPI Type, Name of the KPI, label that will display in the editor, Yes/No Data Type, and the question asked. Capture the labels, colours, scores, and the descriptions data to suit your requirements. Check the tick box to display unknown as an option when adding your target/actual KPI.

KPI Templates

There are two options for saving a template. The first is to apply the template to selected instances, and the second applies the template to the entire class (e.g. Composite Application Providers). You can manage templates you have created  by clicking the Manage KPI Group Templates button.

This applies the template to existing instances and only those that have been selected will get the KPI template that has been captured. This can be useful if one set of instances has a certain set of KPIs and another set of instances have a different set of KPI (e.g. contracts might have a different KPI sets). Once you have named and given a description to the template, and selected the required instances, select confirm to create it. It also has the option to select all or none, as well as specific instancs.

Shared by All Instances of a Class

This will apply the template to all, including newly created instances of the class, e.g. application. This would be used for instances that typically have a common set of KPIs. Please Note: once you have created a template for all instances of a class, you cannot go back and create a custom set of KPIs for an instance. For applications, you might have ESG, Technical Fit, Business Fit, you would need to put them all in the same group to have those options for all applications. Once you have named and given a description to the template, select confirm to create it.
